What to Expect During Your Onboarding

Hey there! We're SO EXCITED to have you join AmeriPharma! We know onboarding can feel confusing, so here's a super simple guide to show you exactly what is going and what you need to do!

Phase 1: Pre-Contract Onboarding

What you'll get:

  1. A link! What link, you may ask? A link to make your BambooHR account!
    1. This is where you'll be signing quite a few of your documents from here on out.

What to do:

  1. Create your BambooHR account
  2. Complete every task marked "FIRST PRIORITIES"
    1. Finish these within three days. Or sooner!
  3. BONUS POINTS: Complete the tasks titled "BEFORE SEEING PATIENTS"
    1. This cuts down the work you'll have to do later in the onboarding process!

Phase 2: Signing Your Contract

What you'll get:

  1. A contract from Adobe Sign titled "[Name]'s Individual 1099 Nursing PNA"

What to do:

  1. Review the contract
  2. Sign the contract...
  3. Tell us when you've submitted the contract!

Phase 3: Post-Contract Onboarding

We're starting to see the light at the end of the tunnel!

What you'll get:

  1. A background check invite from DataFacts. It may include:
    1. A drug test
    2. A TB (Quantiferon) test
    3. Reference checks
  2. Once completing the application, you'll also get an ePassport
    1. You use this to book your occupational health tests
  3. An invite to create a PAAS National Account
WarningAct FAST. The link expires in three (yes, three) days!

What to do:

  1. Complete the application
  2. Schedule your drug screen and TB test and do them. Stat!
    1. The sooner you go in, the better. It can take anywhere from 1-10 business days to get the results (though it usually falls somewhere in between). 
    2. If you've already had a Quantiferon or PPD test done within the last year, let us know! You might not need to take another one.
  3. Let your references know that DataFacts will be reaching out to them!
  4. Complete the tasks in BambooHR titled "BEFORE SERVICING PATIENTS" if you haven't already.
    1. The RN Attestation of Training is one of those tasks! This one is especially important.
      1. If you've already reviewed the required training (perhaps at another job, or on your own time), you can just enter the date you've reviewed them! Done and did!
      2. If you haven't reviewed them yet, find the task titled "RN Contractor Training," review them, and sign them. 
    2. Create your PAAS National account
      1. Open the email
      2. Follow the instructions
      3. DON'T SKIP THIS!
      4. And yes, check your spam/junk AGAIN!

            and then...you're DONE! You've made it!

Q: I haven’t received my contract/my documents/my onboarding materials yet— what’s going on?
      A: First things first—double check your spam or junk folder (they love hiding there). If it’s not there, we promise we haven’t forgotten about you! Our team is working as quickly as we can to get everything sent out—thank you for your patience as real humans do real work behind the scenes.

Q: I have already done the training listed on the RN Attestation of Completed Training document/the training in the BambooHR task titled "RN Contractor Training." Do I have to do it again?
      A: Well, maybe.

If you've completed/reviewed those trainings within the last year, then no, you don't! You would just want to put the date you last reviewed those trainings in the date lines on the RN Attestation of Completed training document.

If you haven't completed/reviewed those trainings within the last year, then you can review the trainings in the "RN Contractor Training" task in BambooHR and sign off on them. This will satisfy the training requirements.

Q: What is a PAAS National Account for? And do I need to do the training on there?
      A: It’s an account we have you create so we can complete OIG monitoring. In healthcare, OIG stands for Office of Inspector General, which is part of the U.S. Department of Health and Human Services. They help protect important programs like Medicare and Medicaid by making sure everyone involved is acting ethically and responsibly. Monitoring through the OIG helps us prevent things like fraud or misuse — and most importantly, it helps us continue providing safe, trustworthy care to the people we serve.

If you've completed the RN Attestation of Training and noted that you've reviewed HIPAA/HITECH within the last year, there is no need for you to repeat the training. However, if it's been over a year since you've completed the trainings, then please do complete the training in PAAS.

Q: How fast should I do everything?
      A: As fast as you can! Some links expire in 3 days. Delays = delays.

Q: Why are there so many steps and documents in onboarding?
      A: We totally get it—it might feel like a lot at first! But each step is there for a reason: we believe in patient centered care, so we’re held to high standards of care and compliance. Everything you complete helps make sure we’re protecting our patients and supporting you with everything you need before getting started. We’ve designed the process to move as quickly and smoothly as possible—and we’re here to help every step of the way!

Q: There aren’t any clinics near me! What should I do?
      A: No worries—just let us know! We’ll gladly reach out to the vendor to help locate a clinic closer to you. If possible, also share a few backup cities you’d be willing to travel to, just in case we need to expand the search.

Q: I've taken a QuantiFERON Gold and/or a PPD TB test within the past year. Do I need to take another one?
      A: Not if it's been taken within the last year, you don't! Send those results right over to us and we'll get it neatly filed.

Q: I'm try to be cautious about all these spam emails! How do I know if an email is from you?
      A: There's a few ways to know:

1. The email is coming from an "ameripharma.us" domain.
2. The email is coming from BambooHR with AmeriPharma branding--this is our HRIS!
3. The email is coming from DataFacts. It will say that the company who is requesting the background check is Harper's Pharmacy (that's us--we DBA [do business as] AmeriPharma)!
4. The email is coming from Adobe Sign. It should explicitly say who the document is coming from--make sure that email has the "ameripharma.us" domain!

When in doubt, send us a screenshot of the email. We're always happy to confirm if an email is coming from us or not
